How one mistake in your employment record can “steal” your experience — PFU clarification

Just imagine that decades of your conscientious work can simply “fall out” of your pension record because of one small mistake. The Pension Fund of Ukraine explains what you should check in your pension fund data right now so as not to lose your right to a pension based on your length of service .

The PFU recently issued a detailed explanation with a warning about data verification: if your name in the work book is written differently than in the passport (for example, Vyacheslav instead of Vyacheslav ), your information about your experience may not be taken into account in this case.

Why is this critical?

The work record book is the main document that confirms your work experience for the period before January 1, 2004. Until June 10, 2026, there was an obligation to digitize the work record book for all citizens. However, any discrepancy in the surname, first name, or patronymic between the work record and the passport legally calls into question the ownership of this document specifically for you.

How to fix the error: step-by-step instructions from PFU

If you have identified a discrepancy, the pension fund has explained the algorithm of actions to correct such a discrepancy:

  1. Contact your place of employment. Name record changes should be made by the owner or an authorized body at the employee’s last place of employment .
  2. Provide documents. The basis for the correction is your passport or birth certificate.
  3. Correction procedure:
    • On the title page of the work book, an incorrect name is crossed out with one line .
    • The correct data is recorded nearby.
    • The inside cover must include a reference to the document (its number and date) on the basis of which the changes were made.
    • The entry is certified by the signature of the head of the enterprise or the seal of the human resources department.

Important: Don’t wait until you retire. Check the title page of your work record now. If you find that your name is written without an apostrophe, but it is in your passport, immediately contact your current employer to correct it. This is the only way to ensure that every day of your work will be taken into account when determining benefits.
